Questions we get about mindfile
What the product is, how your data is protected, and what it takes to get started.
What exactly is mindfile?
mindfile is a corporate intelligence platform. It turns your organisation's documents into a living corporate memory: you ask in plain language, you get an answer with the source document and page cited, and you turn that same material into reports, summaries or analyses.
How is it different from a document management system?
Document management is mindfile's first layer, not the product. A classic system stores a file and helps you find it. mindfile adds understanding (cited answers), production (expert agents) and action on top. The difference is between 'find the file' and 'answer the question'.
How can I trust what the AI answers?
Every answer shows the document and page it came from. You open the source in one click and see exactly where the sentence appears. Not producing a claim it cannot cite is a core design rule of the system.
Are our documents used to train AI models?
No. Your documents are processed only to answer your questions and run product features; they are not used to train general models. Each organisation's data is isolated in its own tenant.
Where is our data stored and who can reach it?
Data lives in an isolated space that belongs to your organisation. Access is granted by role, unit and document type, and classified documents require additional approval. Who viewed, listed or changed what, and when, is written to the audit trail.
Is it KVKK and GDPR compliant?
Processes are designed around KVKK and GDPR requirements. Retention plans, disposal workflows, access logs and permission management are part of the product. With the Enterprise plan's on-premise deployment, data can stay entirely on your own infrastructure.
Which file types are supported?
PDF, Word, Excel, PowerPoint and common image formats, as well as scanned documents. Image-based files are converted to text with OCR, so search and the AI layers work on that content too.
How do we migrate our existing archive?
Bulk import brings your existing folder structure across, and you can connect sources such as Google Drive. During import, documents are matched to unit, category and document type — and nothing is committed until you approve the suggestions.
How long does setup take?
On the cloud, teams usually start the same day. What actually sets the timeline is migrating the existing archive and modelling your permission structure; we work alongside you on both.
How does pricing work?
There are three plans: Starter, Business and Enterprise. Every plan includes a 14-day free trial with no credit card. Enterprise adds on-premise deployment, SSO / Active Directory and API access.
