This policy summarises what data we process when you use mindfile, why we process it, and how we protect it.
We process two kinds of data. First, your account and contact details: name, email, company information and the messages you send us. Second, the documents you upload and their metadata. We also keep technical records (session data, IP address, activity logs) to keep the service secure and working.
To deliver the service, answer your questions from your own documents, enforce permissions and the audit trail, handle billing, and support you when you ask. Marketing communication happens only with your explicit consent.
The documents you upload remain your property. Each organisation's data is isolated in its own tenant and is not used to train general AI models. Documents are processed only to answer your queries and run product features.
Data is kept while your account is active and for as long as legal retention obligations require. When a contract ends, your data is exported on request and deleted within a reasonable period. Separate retention periods may apply to audit records.
We do not sell your data. To run the service we work with a limited set of sub-processors such as hosting, email and AI infrastructure; they access only the data needed to provide the service. With an on-premise deployment, data stays entirely on your own infrastructure.
Access is scoped by role and unit, classified documents require additional approval, and every access and change is written to the audit trail. Data is encrypted in transit.
Under KVKK and GDPR you have the right to access, correct, delete, restrict processing of and port your data. Send requests to merhaba@matka.tr and we will respond within the statutory periods.
